Understanding and Managing Workflows in Light

Learn how Light automates approvals using configurable workflows across finance, CRM, and HR—plus how to navigate, edit, and publish workflows safely.

 

Light automates approvals and operational processes through configurable workflows. These workflows define what happens when key events occur—such as a bill arriving in the Inbox, an expense being submitted, or a vendor being onboarded.

You can view and manage all available workflows by navigating to: Settings → Workflows

Light continuously expands this library, giving you ready-to-use workflows across finance, revenue, CRM, and HR, with the flexibility to tailor each one to your organization’s needs.

  • Accounts payable flows

  • Accounts receivable flows

    • Invoice-to-cash (dunning) - when invoice is posted

  • Flows with Integrations

    • CRM flows

      • Synch from HubSpot - when data changes in HubSpot

      • Sych from Salesforce - when data changes in Salesforce

Navigating Workflow Screen

  • Workflow environment is made up of nodes (the rectangles) and connections between them

  • To add a new a new node search the bottom menu - you can add and Action or a Condition

  • To delete a node select the it and press backspace

  • To connect nodes click on a write dot on the node and pull a string to the desired end node

  • To delete a string select it and press backspace

 

Oce done editing you need to Publish it (to right corner) to make it live.

Only the objects (bills, expenses etc.) submitted after workflow publishing will comply with the new rules, the existing objects in the system will not.
